Bodytonix Ltd Spa Day Terms and Conditions
1. Accuracy & Information
Bodytonix Ltd has taken all care to ensure published information and prices are accurate, however if we identify an error or omission following publication, we will inform you before confirming your booking.
2. Bodytonix Payment Terms
A non refundable deposit of £20 per person must be paid at the time of booking to secure a booking.
For group bookings of four or more people, the balance of your booking must be paid no later than 14 days before the date of your spa day. This date will be shown on your booking confirmation sent via email (in the first instance) or via post where email is not available.
Should your balance not be paid on the date specified, Bodytonix Ltd reserves the right to cancel your booking without notification.
3. Accepted Forms of Payment
Bodytonix Ltd will accept payment from major credit and debit card companies, BACs, cash or gift voucher. (Please refer to gift voucher terms and conditions.)
4. Price
All spa package deals and prices are subject to availability at the time of booking. We reserve the right to change the price of any spa day advertised on our website or our spa leaflets.
5. Group bookings
When booking a group of more than 10 people, you will be eligible for:
A free place on your booking;
Or
A free bottle of champagne.
Please note: Only one group booking offer may be used per booking and this choice can be made by the lead party name only. You may not be eligible for a group booking offer if your booking price has been discounted from the standard package price.
6. Booking confirmation
On receipt of your deposit via the methods stated in (3), we will email confirmation of your booking with Bodytonix within 48 hours. The confirmation will clearly state the balance to be paid and the date by which it is due. Please check the confirmation carefully to make sure that all your booking details are correct. Contact us immediately if your confirmation appears to be incorrect or incomplete and we will endeavour to make the necessary changes. Bodytonix reserves the right to make changes to and correct errors after bookings have been confirmed.
Please note: your booking details remain unchanged until a new confirmation has been processed and sent to your email. Please see section 12 (Amendments) for further information regarding charges. If your booking is past-dated and you did not attend it for any reason, Bodytonix is not liable under any circumstances for any losses or refunds.
7. Dress Code
Please ensure that you bring suitable swimwear and footwear (such as flip flops) for your spa day, as you are required to access the spa facilities via the outdoor gardens of the Mount Royale hotel. Robes and towels will be provided by Bodytonix along with a locker to store your belongings, however, please feel free to bring your own robe should you prefer this option.
Robe and a towel must be returned to your allocated locker, the locker locked and the locker key returned to hotel reception before 5.30pm. Please note a fee of £10 per item will be charged should any of these items be missing.
8. Treatment Times
Bodytonix will confirm your treatment times on the day of arrival. Please ensure you advise us of your specified treatments as far in advance as possible as some of the treatments have limited availability. Please note that in some cases, we may not always be able to accept your preferred treatment and an alternative may be asked from you.
Bodytonix reserve the right to alter the timings of treatments due to operational reasons at any time for spa party bookings and therefore, whilst we endeavour to meet party booking requirements, we may not be able to perform treatments for party bookings at the same time in some cases.
Should we need to cancel your booking for any reason, we will do our best to offer you a suitable alternative or you are entitled to cancel your booking free of charge.
9. Our Descriptions
The descriptions of the hotel and spa facilities on our website are based on opinions gained from our clients. We are not always able to exercise control over all the components of the spa/hotel facilities and it is possible that an advertised amenity be withdrawn or changed due to various reasons. We will advise you if we become aware of a major change, but we cannot accept liability for loss, damage or inconvenience in such circumstances.
10. Behaviour
Throughout your spa day with Bodytonix, you accept full liability for any damage or loss caused by you or any member of your group and hotel facilities are used at your own risk.
11. Cancellations
11.1 It is possible to cancel your spa day at any time up until 14 days prior to your booking date, however, the £20pp deposit will be retained in this instance as an administration fee (see section 2).
11.2 Bookings cancelled within 14 days of your spa day, will result in the loss of all monies paid at that time. Please note that in all cases of cancellation, the £20 per person deposit is non- refundable.
12. Reschedule
Any requests to reschedule an existing booking that are made after receipt of booking confirmation will be charged at £20 per person.
13. VOUCHERS
13.1. Voucher
All Vouchers are completely non-refundable from the date of purchase.
The unique identification code/booking reference on your gift voucher must be given to us at the time of booking and must be presented when you arrive for your spa day, otherwise you will be expected to pay the current advertised price of your spa day.
All gift vouchers are valid for 12 months, unless a specific date is given; the expiry date is clearly stated on each voucher. If a voucher is not used before this time, the voucher is completely non-refundable and will no longer be valid.
A monetary voucher allows you to redeem against any packages available at the time of redemption. All dates are subject to availability.
Any vouchers issued for specific spa deals are not transferable unless at manager discretion.
13.2. Booking
It is essential to contact Bodytonix to pre-arrange a date for your spa day. If you arrive unannounced you will not be able to redeem the voucher. Bodytonix recommends that you book at least six to eight weeks in advance to ensure that dates are available before the voucher expires. This is only a guideline and Bodytonix recommends you book as early as possible to avoid disappointment. You must book your spa day before the expiry date on the voucher.
13.3. Expiry Date
The expiry date is clearly stated on the voucher and is non-negotiable.
13.4. Cancellations
If you wish to cancel within 14 days of your spa day, then the entire value of the gift voucher will be lost. If a client cancels outside of the 14 days then the value of the gift voucher, minus a £20 per person cancellation fee will remain available to redeem.
13.5. Medical Conditions
Due to the nature of some of the spa treatments offered by Bodytonix, participating in certain treatment or activities may be harmful to your health. Therefore, the recipient of the voucher must notify the therapist at Bodytonix of any relevant medical conditions before booking a spa treatment. They must also conduct a medical consultation prior to commencing your spa day.
13.6. Loss of Voucher
In the event of a lost voucher, Bodytonix can issue a new voucher for an administration fee of £5, subject to proof of purchase.
13.7. Complaints
Should you wish to make a complaint, you must make your initial contact to our customer relations consultant via email or in writing within 28 days from your booking date. Please allow up to 7 working days for a full response from us.
13.8. Statutory Rights
Nothing in these terms and conditions affects your statutory rights. These terms and conditions are subject to the law of England and Wales. All disputes shall be subject to the exclusive jurisdiction of the courts.
13.9. Voucher Codes
If your voucher has been purchased directly through Bodytonix, your voucher number will start BT. If your voucher has a different number, this will have been purchased through a third party and other terms and conditions may apply.
14. Special Requests & Medical Problems
If you have any special requests, you must advise us at the time of booking. Although we will endeavour to meet any such requests we regret we cannot guarantee to do so.
Due to the nature of some of the spa treatments offered by Bodytonix, participating in certain treatment or activities may be harmful to your health. They must also conduct a medical consultation prior to commencing your spa day.
15. Complaints
Should you wish to make a complaint, you must make your initial contact to our customer relations consultant via email or in writing within 28 days from your booking date. Please allow up to 7 working days for a full response from us.
We do not accept complaints via the telephone.
16. Liability
Bodytonix shall have no liability for damage to property, consequential loss or expenses suffered, which includes, but is not limited to, loss of anticipated earnings, profits, goodwill, reputation, business receipts or contracts, losses or expenses, resulting in third party claims.
17. Extras
Please note that all extra's consumed on site such as Food, Drink, additional Spa Treatments and Transport must be paid for by you as your booking with Bodytonix will only include the package set out in your confirmation email. We accept no liability for any charges you consume on site in relation to any extras outside of your package.
18. Changes & Cancellations by Bodytonix
Bodytonix Ltd reserves the right to make changes to and correct errors on our website and in our brochure both before and after bookings have been confirmed.
19. Force Majeure
Bodytonix will not be liable for additional expenses incurred through travel delay, Acts of God, force majeure or events beyond our control. Force majeure is unusual and unforeseeable circumstances beyond our control such as war or threat of war, riots, civil unrest, terrorist activity, industrial disputes, natural or nuclear disaster, fire or adverse weather conditions.
20. Our Responsibility
Bodytonix Ltd will endeavour to make sure that all parts of the spa booking are arranged, performed or provided with expertise and care. Our liability in all our bookings shall be limited to a maximum of the cost of your booking with Bodytonix.
